Private Function Menus:
Arrangements for all special events must be handled through our Catering Department. Menus listed are offered as guidelines. Menus are subject to change due to market demand. In order for our staff to effectively plan and execute your function, the final menu details must be confirmed no later than one month in advance of your reserved date.
1. All private parties greater than twelve persons are required to order a pre-selected menu in advance with the Director of Catering.
2. Parties less than twelve persons have the option of ordering from the a la carte menu. Two a la carte parties will be accomodated per meal period, one hour apart to ensure the Club's highest standard of service.
3. When more than one entree is offered to a private party, an additional $2.00 for lunch or $4.00 for dinner will be added to the price of the meal. This option is only available to groups of 50 persons or less and requires that each person have the same appetizer, salad, and dessert.
Guarantees:
Your attendance guarantee must be made 72 hours in advance. In the event we do not receive your guarantee three (3) business days in advance, the greater expected number of guests will be considered to be the guaranteed number. The minimum charge for your function is based on the guarantee or the number of guests in attendance, whichever is greater. In the event the actual number of guests in attendance is greater than your guarantee, you will be charged an additional 20% food surcharge on the number of guests served above your guarantee.
Room Requirements and Rentals:
To ensure that your function is indeed "private', we request that all activities be confined to your reserved room(s). All private function rooms reserved for daytime events must conclude by 5pm; evening events must conclude by the scheduled closing time of the Club. The Club reserves the right to reassign your room if the guarantee drops more than 15% of the expected number of guests or increases beyond the capacity of the room reserved. Food and beverage minimums are required for each room and will be outlined in your catering agreement.
Prices:
All prices listed are the base price, without service charge and sales tax, and are subject to change pending substitutions made by the host or hostess. An additional 21% service charge for member events and 22% service charge for non-member sponsored events, as well as a 7% sales tax will be applied to all food, beverage, and floral charges. The service charge includes the use of tables, chairs, table linens, china, glassware and silver, as well as service. Prices are guaranteed if planned within sixty (60) days of your function date. All prices quoted prior to sixty (60) days are subject to change without notice due to fluctuations in the market.
Schedule of Payment:
1. A non-refundable deposit is due with a signed contract to confirm the date.
2. Member Events will be billed and the balance due within 30 days of invoice.
3. Sponsored events require prepayment of one third of the anticipated final balance 90 days prior to your event. A second one third payment prepayment of the anticipated final balance 30 days prior to your event will be due. Four days prior to your event 100% of the anticipated final balance, less your advance deposit is due. Any additional monies owed will be due upon receipt of the final invoice. Any money paid above the cost of the event will be refunded.
Cancellation Policy:
Unless contract is cancelled as provided below the full estimated price is due to CCS:
1. If CCS receives written notice of cancelllation of event, then a cancellation fee equal to the advance deposit on the confirmation letter shall be due.
2. If written notice is less than 90 days, the cancellation fee equal to 25% of the estimated price or average of similar events held at CCS will be immediately due and payable to CCS
3. If written notice is less than 60 days, the cancellation fee equal to 50% of the estimated price or average of similar events held at CCS will be immediately due and payable to CCS.
4. If written notice is less than 30 days, the cancellation fee equal to 70% of the estimated price or average of similar events held at CCS will be immediately due and payable.
5. If written notice of cancellation is less than 7 days, the cancellation fee equal to 100% of the estimated price or average of similar events held at CCS will immediately due and payable.

The Club is equipped to offer audio/visual equipment for private events at a modest cost. See list below. Additional equipment rentals can be arranged through our Catering Department. See vendor list for complete list of preferred vendors.

Valet Parking:
Valet parking is optional for affairs held at The Country Club of the South. Our Catering Department will organize this service for you and it will be priced $45 per valet/ per hour. One valet is scheduled per every 50 guests.
Security: The Club will assume no responsibility for articles brought into the Club by members, non-members or their guests. Any Club property damaged or removed from the building or surrounding areas becomes the responsibility of the sponsoring Member.

Our Catering Staff is happy to refer you to various professional who can provide additional services such as Wedding Consultants, Musicians, Florists, Photographers, and other services to enhance your event.
Dress code: The Club's dress code is country club casual. Your specific event may dictate the dress code for your guests.
